Operational process

The hiring process

9 steps from the first call to the first day of work. Around 9 weeks in total.

Total timeline
~9
weeks
What that means

From first call to first working day. The exact timeline depends on industry, candidate volume and permit type.

Step-by-step structure

Nine stages

01
1-3 days

Needs analysis

We define roles, working conditions, qualification requirements and budget, then write the search brief.

02
1-2 weeks

Candidate sourcing

Partner agencies activate their networks. Sourcing happens in parallel across databases, referrals and open markets.

03
3-5 days

Verification and profiling

Verifying documents, work history and references. Checking against the client's baseline requirements.

04
1-2 weeks

Interviews and testing

Candidates take practical tests at relevant sites. A Ukraine Works representative is on-site. Every test is recorded on video.

05
3-7 days

Final selection

The employer reviews videos and CVs and may run their own video interview. The hiring decision is the employer's.

06
1-2 weeks

Administrative paperwork

Drafting employment contracts, invitation letters and the employer's documents for the work-permit application.

07
3-5 weeks

Worker documents

Work permit issued by the Ukrainian employment centre, and a type D visa obtained at a Ukrainian consulate. Timelines are set by the authorities.

08
3-5 days

Relocation

Flights, transfers and initial accommodation. Coordinated with the employer for on-site arrival.

09
First 2-4 weeks

Onboarding

Support in the first weeks: registration, bank account, basic orientation. The coordinator stays available throughout the guarantee period.
